WhatsApp Business Platform: a builder's guide to setting it up right

WhatsApp is the channel your customer actually uses. The question is whether your business is set up to listen on it.

Three roles, not one

Every functioning WABA setup has three roles: the qualifier, the router, the human. The qualifier collects the minimum context (budget, area, urgency) without making the conversation feel like a form. The router decides which human gets this conversation — based on geography, language, product, agent SLA. The human shows up within 60 seconds with the context already in their CRM.

If you only have a qualifier, you have a chatbot people hate. If you only have humans, you have unsustainable economics. The magic is the routing layer in the middle.

The 'first message' trap

People over-engineer the first message. They want a multi-branch flow with greetings, menus, FAQs, sub-menus. The truth: most customers don't read menus. They type what they want.

Build the first message as a wide funnel: 'Hi! Tell us what you're looking for — budget, area, anything specific.' Let them speak. Then your NLU extracts intent and routes. Way more natural, way higher conversion.

Templates, the boring but critical part

WABA requires Meta-approved templates for outbound. Most teams get rejected because their templates sound like promotions. The rule: templates must be transactional in tone, customer-initiated context, time-bound utility.

Good template: 'Hi {name}, your installation is scheduled for {date}. Reply YES to confirm or RESCHEDULE.' Bad template: 'Big sale this weekend! Up to 60% off!' — that's a marketing message that needs Marketing template type, which has stricter rules.

The CRM handoff that ruins most rollouts

When the bot hands off to a human, the human should see the entire prior conversation, all extracted entities (budget, area, etc.), the customer's CRM record, and the SLA clock. If your agent has to open three tabs to figure out who this person is, you've already lost.
