Cancellation & Refund Policy

At Sphyx Digital Private Limited, we strive to deliver high-quality branding, marketing, and business automation solutions. We understand that sometimes clients may need to modify or cancel their services, and we have established this Cancellation & Refund Policy to ensure clarity, fairness, and compliance with industry regulations.

By engaging with Sphyx Digital Private Limited, you acknowledge that you have read, understood, and agreed to the terms outlined below.

1. Cancellation Policy

1.1 Service-Based Projects

  • Once a project has started, cancellation requests will not be entertained.
  • If a client cancels before the project begins, a cancellation fee of 30% of the total project value will be deducted to cover administrative and resource allocation costs.
  • Retainer-based services (e.g., digital marketing, SEO) require a 30-day written notice for cancellation.

1.2 Custom Software & Web Development

  • Deposits made for software or web development projects are non-refundable once the development phase has started.
  • If cancellation is requested before work begins, 50% of the initial deposit will be refunded.
  • No cancellations are permitted after the design/wireframing phase has been approved.

1.3 Digital Products & Consultation

  • Payments made for digital products (templates, reports, toolkits, courses) and consultation calls are non-refundable due to the nature of digital delivery.
  • Consultation rescheduling is allowed with at least 24-hour prior notice, but cancellations will not be refunded.

2. Refund Policy & Timelines

2.1 Refund Eligibility

  • Refunds are not applicable for completed or partially completed services.
  • Refunds will only be processed in cases of service non-performance or failure to deliver agreed-upon milestones, subject to an internal review.
  • Subscription services are non-refundable once billed, but clients can cancel before the next billing cycle.

2.2 Refund Processing & Timelines

  • If a refund is approved, it will be processed and credited within 7 to 30 business days, depending on the payment method:

    • Domestic Bank Transfers (INR): 7-10 business days
    • International Wire Transfers (USD, GBP, AUD, CAD, AED, EUR): 10-30 business days
    • Credit/Debit Cards & Payment Gateways: 7-15 business days
    • Prepaid Credit Balance (if applicable): 5-7 business days

  • Refunds will be credited to the original payment source only, as per the following conditions:

2.3 Refund Method & Verification

2.3.1 Payments Made via Payment Gateways (Credit/Debit Card, UPI, Digital Wallets, etc.)

  • Refunds shall only be processed to the original source of payment.
  • No refunds will be made to alternative accounts or third-party payment methods.

2.3.2 Payments Made via Offline Bank Transfer

  • Refunds for payments made via direct bank transfer will only be issued to official, registered accounts after due verification.
  • Clients must provide:
    • A cancelled cheque or a bank statement as proof of account ownership.
    • Official details matching the name of the paying entity or individual.
  • If the verification fails or discrepancies are found, Sphyx Digital Pvt Ltd reserves the right to deny the refund or request further documentation.

2.4 Partial Refunds (If Applicable)

  • If a project is terminated mid-way due to unavoidable reasons (such as force majeure), a prorated refund may be considered based on the work completed, minus administrative costs.
  • Partial refunds (if applicable) will be processed within 10-30 business days after an internal review.

3. Exceptions & Dispute Resolution

  • Any disputes regarding cancellations or refunds must be raised in writing within 7 days of the issue.
  • Sphyx Digital Pvt Ltd will conduct a case-by-case review to determine refund eligibility.
  • If a mutual resolution is not reached, the matter will be escalated to arbitration or mediation as per applicable laws.
